12 Months Before the Move

  • Evaluate your needs: Document your space requirements — square footage, layout, infrastructure (power, internet, specialized equipment), parking, accessibility, and growth projections for the next 5 years.
  • Engage a commercial agent: Start the search early. Finding the right space in the GTA takes time, and lease negotiations add 1–3 months.
  • Review your current lease: Understand your obligations — notice period, restoration requirements, and any penalties for early termination. Most commercial leases require 6–12 months written notice of non-renewal.
  • Set a budget: Include: new lease costs (first/last month + deposit), moving costs, fit-out/renovation costs, equipment and furniture, technology setup, and lost productivity during the transition.

6 Months Before

  • Sign the new lease: Finalize lease negotiations and sign. Ensure the lease start date gives you enough time for fit-out before you need to move in.
  • Plan the fit-out: Engage an architect or designer for the new space. Apply for building permits if renovations are required. In Toronto, permit processing takes 4–12 weeks depending on complexity.
  • Notify stakeholders: Inform clients, suppliers, and partners about the upcoming move. Provide the new address and expected move date.
  • IT and telecom planning: Contact your internet provider about the new location. Ensure adequate bandwidth is available. Plan server migration, phone system transfer, and network setup. Business-grade internet installation can take 4–8 weeks.

3 Months Before

  • Hire movers: Get quotes from at least three commercial moving companies. Commercial moves in Toronto typically cost $5,000–$25,000 depending on size and complexity. Book early — spring and summer are busy.
  • Update your information: Prepare to update your address on: CRA business registration, bank accounts, insurance policies, supplier contracts, online listings (Google Business Profile, Yelp, industry directories), website, email signatures, business cards, and marketing materials.
  • Furniture and equipment decisions: Decide what moves, what gets replaced, and what gets sold or donated. New space may require different furniture configurations.

1 Month Before

  • Test the new space: Ensure internet, electrical, HVAC, and security systems are operational before move day.
  • Create a move-day plan: Assign responsibilities to team members. Determine the sequence of moving (IT equipment first, then furniture, then personal items).
  • Back up everything: Full backup of all digital data before the move. Store backup offsite or in the cloud.

After the Move

  • Verify all systems are operational: internet, phones, security, HVAC
  • Update Google Business Profile with new address and photos
  • Send a "we've moved" announcement to your client list

  • Update business insurance for the new location
